Starting May 30, 2022, Google will no longer support the use of third-party apps or devices using only your google username and password. What does this mean? It means if you are using mail applications, older mobile phones, or using scan-to-email features on a copier they may no longer function. We have seen some firms using Gmail accounts to enable communication via email on older devices because of the lower security standard.
What should you do?
Google is offering the ability to use app passwords which may work for some situations. We urge any clients using scan to email on older printer/scanner devices to upgrade those devices to devices that support modern authentication types. This will allow the communication between your multi-function devices to have the same security that your other communication utilizes. Companies should remember that using an email for scanning means all the data that is scanned is traveling through that email system and may be stored without you knowing it. All company data should be identified and protected.
