What You’ll Need

Before starting, ensure you have:

  • Administrator access to both your Gmail (Google Workspace) and Microsoft 365 accounts.
  • A list of email addresses you wish to migrate.
  • Basic familiarity with signing into admin consoles

Step-by-Step Migration Guide

1. Access the Exchange Admin Center (EAC)

  • Sign in to the Microsoft 365 admin center using your administrator credentials.
  • In the left-hand menu, select Show all, then choose Exchange to open the Exchange Admin Center.

2. Initiate a New Migration Batch

  • In the EAC, navigate to Migration > Add migration batch.
  • Provide a unique name for your migration batch (e.g., “GmailMigration2025”).
  • Ensure Migration to Exchange Online is selected, then click Next.

3. Choose Migration Type

  • Select Google Workspace (Gmail) migration as the migration type.
  • Click Next to proceed.

4. Configure Google Workspace for Migration

  • On the Prerequisites for Google Workspace migration page, expand the Automate the configuration of your Google Workspace for migration section.
  • Click Start to begin the automated configuration.
  • Sign in with your Google administrator credentials when prompted.
  • The system will perform necessary configurations and download a JSON file to your computer. Keep this file; you’ll need it in the next step.

5. Set Up Migration Endpoint

  • On the Set a migration endpoint page, choose Create a new migration endpoint, then click Next.
  • Enter a name for the migration endpoint (e.g., “GmailEndpoint”).
  • When prompted, upload the JSON file downloaded in the previous step.
  • Click Next to continue.

6. Add User Mailboxes

  • Prepare a CSV file containing the email addresses of the users you wish to migrate.
  • In the EAC, on the Add user mailboxes page, click Import CSV file and upload your prepared CSV.
  • Click Next after the file is uploaded.

7. Schedule the Migration

  • On the Schedule batch migration page, specify:
    • Who should receive the migration report.
    • When to start the migration batch.
    • When to end the migration batch process.
  • Click Save to finalize the schedule.

8. Monitor Migration Progress

  • After saving, you’ll be redirected to the Migration page.
  • Here, you can monitor the status of your migration batch.
  • The status will initially show as Syncing. Refresh the page periodically to check for updates.

Post-Migration Steps

  • Verify that all emails, contacts, and calendar entries have been successfully migrated.
  • Update your DNS records to direct future emails to Microsoft 365.
  • Inform users about the change and provide guidance on accessing their new mailboxes.
